A Quick Update for Our Exhibitors: New Table Backdrop Guidelines
- What’s new this year: We are asking all exhibitors who want to bring a display to please bring something small that fits their table footprint please.
- Keeping it cozy (Width): To make sure everyone has plenty of breathing room, displays should be a maximum of 6 feet wide.
- Finding the sweet spot (Height): While the absolute maximum height is 8 feet, we highly recommend aiming for less than a 6-foot max height if possible.
- Why we’re making the shift: As our layout evolves, these guidelines ensure everyone keeps their clear sightlines and nobody gets hidden in the crowd. We want to create a comfortable, bustling, and successful vendor hall where every single one of our wonderful, longtime partners shines!
Exhibit Hall Logistics
- As in previous years, exhibitors will be asked and encouraged to donate goods or services to our annual raffle – All proceeds fund our student and early career professional programs. This is optional and agreement to do so will not reduce the table registration cost.
- If you plan to ship your exhibit materials or merchandise in advance, please contact the conference center to inquire about space restrictions, timing, and charges.
- Exhibitors are eligible for the discounted hotel rates that we have arranged for our meeting attendees. Limited rooms are available so be sure to book early!
- Exhibitors do not need to sit at their table during all possible open hours! The morning and afternoon breaks, lunch period and evening receptions are peak times not to be missed!
- The exhibit hall will close Thursday at 3:30pm and will reopen after the banquet awards ceremony at 8pm. Tables can remain setup during the closure and vendors will need to vacate the room until the hall reopens.
- The exhibit hall will be locked at night. Most vendors cover their table with a sheet. Please take valuable items with you.
Thank you for your interest in participating in the 74th Annual Meeting of the Western Section!
